Acceptance of terms
If you object to any of the terms and conditions set out in this agreement you should not use any of the products or services on the Website and leave immediately.
You also agree not to compromise the security of the Website or attempt to gain access to secured areas or sensitive information.
You agree to be fully responsible for any claim, expense, liability, losses, costs including legal fees incurred by us arising from any infringement of the terms and conditions set out in this agreement.
During the course of your booking or reserving your accommodation with Vietnam Online Hotels, we collect personal data such as your name, nationality, email address and credit card details. Your name and nationality will be released to the hotel where you will be staying at for record.
We maintain sufficient conditions to ensure the confidentiality of your personal information, against accidental or purposeful destruction, loss, alterations, disclosure or unlawful access.
Modifications
Hotelvietnam.org reserves the right to change any part of this agreement without notice and your use of the Website will be deemed as acceptance of this agreement. We advise users to regularly check the Terms and Conditions of this agreement.
Reservations
The reservation should be sent through our online reservation form, e-mail or fax. The reservations is effective only when you inform us your booking information and credit card details or pay a certain deposit to us, then we will send the confirmation voucher to you.
Rates
1. Unless specified otherwise, rates are quoted in US dollars. The room rates are for double or single occupancy, including 5% service charges and 10% other imposed Government Tax, City Construction Fee, etc.
2. Some hotels room rate includes meal plan. If hotels quote the room rate with breakfasts at a package price, the hotel will not refund you breakfast’s cost whatever you use it or not.
3. The room rates excludes extra guest charges and expenses of a personal nature such as laundry, telex, telephone calls, fax services, bar, massage expenses, etc.
Check in / Out times
Check in and Check out times are explained when bookings are made. Any extension to the check out time, either pre-arranged or as a late departure, may incur a charge upon departure.
The rates shown may be subject to change pending requirements, eligibility, seasons and/or blackout dates. Rates shown do not include extra beds, specials arrangements or ad hoc price changes on the hotels behalf. Rates may also have to be adjusted in case of transport requests. In such cases we will submit an updated quote to you by email. Rates are quoted in the currency shown.
Hotel Booking Guarantee
To guarantee your hotel or tour or ticket booking, we must require your credit card details or payment in-advance. To valid the guarantee, you need to fill with all details required on our secured site or fax it to us or email.
Payment
We accept payment through all major credit cards. We can provide you with a secure link after the services have been confirmed. In both ways, we will only proceed with the payment after reconfirming with you.
For your protection, we should need you to sign the receipt of the credit card payment upon delivery and verify with a legal identification (e.g. passport, drivers license) received before charging your credit card or send us a proof of ID upfront to payment if no delivery is required.
We will inform you in advance of purchase of any credit card fees that may apply.
Bank transfer: Bank transfers can be made from your bank account abroad. We will provide you with our banking details at the time of confirmation of the booking.
Western Union: We can accept payment through any banks worldwide using Western Union service. We will send you our receipt details and then will need the control number from you in order to finalize the receipt of payment.
Cancellation
1. You may cancel or change your existing hotel reservation by contacting us via email or by phone. Cancellation and change may be subject to a small fee, and in certain circumstances, no refund will be issued. By booking hotels on our site, you agree with our cancellation and change policy as set out below.
- Cancellation or change 72 hours prior to your expected date of arrival: 100% refund deducted transaction fees.
- Cancellation or change between 24 hours and 72 hours, prior to your expected date of arrival: 50% refund deducted transaction fees.
- Cancellation or change notice received less than 24 hours from the expected date of arrival: you will be subject to a charge of applicable nightly rates and other service fees.
- These cancellation and change policies will be implemented in accordance with the equivalent policy of the hotel. If the hotel policies on cancellation and change differ that as set out in this agreement, it will be fully noted in the hotel description page.
2. Vietnam Online Hotels will send you the confirmation email including the cancellation due date. If any cancellation made after this date, it will be charged a minimum fee of one night cancellation, unless there are additional notifications in your confirmation email.
3. Not coming to your hotel will be considered as late cancellation and will be charged a minimum fee of cancellation which is one night, or more, per room, unless other information stated in the confirmation email.
4. Any amendment of your reservation should be made directly to Vietnam-Hotels and not to your hotel. This relates to dates changing, extension of stay, early check in or out, late arrival or cancellation in full or in part. If you have any queries before arrival or during your stay at the hotel, please contact directly to Hotel Vietnam Customers Support. All cancellations must be notified to us within our working hours from 8:00 to 18:00 (GMT+7).
Refund Policy

2. Vietnam-Hotels undertakes to bring you an easy and efficient refund procedure. Please be aware that there are some cases that may lead to a penalty charge forced by your hotel such as shortening your stay during high season or high occupancy period, during trade fairs and conventions, or be unsuccessful to terminate your reservation prior to the due date noted on your confirmation email. In the circumstances that any penalty charge occurred, this will be subtracted from the refund amount.
3. Your confirmation email will identify the accurate date for cancellation which is the closing date you must call off your reservation so as not to be charge any cancellation fee. Normally, the limit for cancellation is 14 days prior to arrival at the hotel. The penalty charge is usually one night stay, unless noted on the confirmation email.
4. Except for the specific conditions noted in the cancellation policy, cancellation requests submitted through any of the means above, before the deadline mentioned in the confirmation, will generally be refunded within 10 days of receiving the request with 100% of the cost of stay deducted transaction fees. Any cancellation request submitted after the deadline mentioned in the confirmation will also be on progression within 10 days, any penalty charge incurred will be applied and subtracted from the refund amount.
5. In most cases, shortened stays will be refunded within 10 days, if being notified prior to shortening your stay by any of the means above, we are able to speed up the progress of refund. Nevertheless, notification is made after checking out, refund for shortened stay may be longer because it will take time for the hotel to confirm the exact date of your stay. If the refund process is expected to take longer than 10 days, we will inform you by email upon receiving your request. Please note that late notification of shortened stay will be charged a penalty usually equal to one night stay in many hotels.
